Match the property and the people first
Keep your available earlier registered deed and property identifiers at hand. Compare the owner's name, address or village, area and plot or gata number across the papers you plan to show a buyer. If there are co-owners, an inherited interest or a mismatch, get transaction-specific advice before promising that one person can sign for everyone. A buyer should still check the seller's identity and ownership independently; the department explicitly advises this.
Prepare the common presentation documents
The department lists a certified copy of photo ID, a recent passport-size photograph and a GPS photograph of the property for deeds. For a property transfer it also lists a route chart: a short sketch showing how to reach the property. Keep the location and photos tied to the exact house, shop or parcel being sold. Ask the concerned sub-registrar office what form of copies and images it currently accepts.
Add the papers for your property type
For agricultural land, the official list calls for copies of khasra and khatauni and a map with a declaration about activities within 200 metres. For an urban, semi-urban or rural property transfer it lists a visible property photograph; for a building it additionally lists a building photograph and a plan of construction on each floor. Special transactions can require further documents or permissions, so check the full official list rather than treating this as an exhaustive packet.
Review the deed details before the appointment
The department's online registration manual says the application records the buyer, seller, witnesses and property details. Check names and parcel identifiers against the documents before the application is submitted; do not guess through a discrepancy. Discuss the valuation list and the actual agreed price separately, and use the department's current fee tools for the transaction rather than relying on an old quoted rate.
Use the official application and payment route
The IGRSUP deed-registration portal starts with 'New Application', then uses the generated application number and password under 'User Login' to continue, edit or see status. Save those details privately. The portal specifically says not to pay registration fees directly from the Rajkosh website; follow the payment route within the property-registration application. Confirm any payment request on the official portal before sending money.
Plan the sub-registrar visit and handover
The official manual instructs applicants to bring a printed application and necessary documents to the relevant sub-registrar office. The department says all parties attend with two witnesses; photos and thumb impressions are captured there. Keep a copy of the final registered deed and a clear record of keys, possession date, meter readings and agreed handover items. The office registration step and physical handover are separate events; record both.
